Smart Lead System
An owner-facing lead workflow that reduces manager coordination while keeping customer decisions under human review.
My roleProduct architecture, workflow design and operating QA.
The problem
Managers lose time coordinating lead context across messages, routing and follow-up, while owners lack one reliable operating view.
Constraints
- Human review of customer-facing actions
- No invented customer facts
- Clear ownership for the next action
Business result
The owner gets one operational view of every lead: AI intent and priority, grounded facts, a concise summary, the next step and a reply draft. Managers spend less time manually coordinating that context.
How it works
The workflow collects and organizes context before it reaches an owner or manager. AI assists with intent, prioritization and a draft; a person reviews before anything customer-facing happens.
Control boundary
The system supports decisions instead of impersonating a sales team. It does not invent facts, silently update records or send an unreviewed reply.

Conceptual workflow
Architecture
- Lead capture
- AI intent and priority
- Owner review
- Next-step handoff
Decisions
- Prepare suggestions, not autonomous outreach
- Keep facts separate from generated drafts
- Make the next responsible action visible
Evidence
- One operational view combines AI intent, priority, facts, summary, next step and reply draft
- Manager coordination is reduced without removing human judgment
Safety boundary
- Reply drafts remain under human review
- No customer or lead records are published
- No unsupervised customer communication
